# Managing Seats

How to see which ENERCALC and ENERCALC SEL seats are in use on your license, deactivate a seat to free it up, and purchase more seats.

**Seat Management** lists every seat in use on your organization's license, including seats held by ENERCALC SEL, and lets you free one up when it's no longer needed.

{% hint style="info" %}
**NOTE:** Every user in your organization can open **Seat Management** and deactivate seats, whatever their role.
{% endhint %}

## Open Seat Management

1. Select the drop-down arrow next to your organization name at the top of the window, then select **Settings**.
2. Under **Organization** in the left-hand list, select **Seat Management**.

The top of the page shows how many seats are in use out of your license total, for example **2 of 2 seats in use**:

<figure><img src="https://3955293234-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fo0Hz1rmQ42N26pw3zzDH%2Fuploads%2Fgit-blob-da5fec6aaaa0b705eac9c6acbcc6bbbf62f408f5%2Finstall-seats-seat-management.png?alt=media" alt="The Seat Management page under Organization in Settings, showing the count of seats in use, a Purchase More Seats button, and a list of seats with User, Computer Name, Computer Login, and Last Active columns, including the user&#x27;s own seat marked Me and at least one ENERCALC SEL seat"><figcaption><p>Seat Management</p></figcaption></figure>

## Read the seat list

Each row is one seat. ENERCALC seats show who holds them, and ENERCALC SEL seats show the computer they're activated on:

| Column             | What it shows                                                                                                 |
| ------------------ | ------------------------------------------------------------------------------------------------------------- |
| **User** | The email address of the person holding an ENERCALC seat. Your own seat is marked **Me**. |
| **Computer Name** | For an SEL seat, the name of the computer where SEL is activated. |
| **Computer Login** | For an SEL seat, the sign-in name on that computer. |
| **Last Active** | The date and time the seat was last activated. Shows **Unknown** when the license service has no date for it. |

ENERCALC and ENERCALC SEL draw from the same seats on your license. How long an SEL seat stays in the list depends on the activation type chosen in SEL version 20. **Automatic Activation** reserves a seat when SEL opens and releases it when SEL closes. **Indefinite Activation** keeps the seat on that computer until it's deactivated.

{% hint style="success" %}
**TIP:** If your team uses both products, choose **Automatic Activation** in SEL so its seat is free whenever SEL is closed. For the steps, see [Activate ENERCALC SEL](https://enercalc.com/docs/sel-installation-activation/activation/activate-enercalc-sel).
{% endhint %}

## Deactivate a seat

Deactivate a seat when its holder is finished with it, for example a seat left on a computer that's no longer in use. The seat returns to your organization so someone else can use it.

1. In the seat list, find the seat and select **Deactivate**.
2. In **Deactivate Seat**, select **Deactivate** to confirm.

<figure><img src="https://3955293234-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2Fo0Hz1rmQ42N26pw3zzDH%2Fuploads%2Fgit-blob-7654148bc9a1527f77d31fa0e7861941f8a33d25%2Finstall-seats-deactivate-confirm.png?alt=media" alt="The Deactivate Seat confirmation window naming the seat holder, with Cancel and a red Deactivate button"><figcaption><p>Confirming a seat deactivation</p></figcaption></figure>

Your own seat has no **Deactivate** button. To release it, [sign out](/docs/installation-activation/account/sign-out.md).

If you see **Seat Deactivation Failed**, try again. If it keeps failing, [contact support](/docs/installation-activation/support-and-maintenance/getting-assistance.md).

## Purchase more seats

Select **Purchase More Seats** to open the ENERCALC portal in your browser, where you can add seats to your subscription.

## If the seat list doesn't load

If ENERCALC can't reach the license service, the page shows **Seat information could not be loaded** in place of the list. Select **Retry**. If the list still doesn't load, [contact support](/docs/installation-activation/support-and-maintenance/getting-assistance.md).

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://enercalc.com/docs/installation-activation/seats-and-users/managing-seats.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
